The Role

In this temporary role, reporting to the Head of Property Management, you will take responsibility for the effective day-to-day management of a portfolio of commercial properties in central London, while also managing service charge budgets, reconciliations, and client reporting.

You’ll also play a key role in ensuring the smooth operational running and facilities setup of the firm’s own offices, supporting a professional and efficient working environment.

Key Responsibilities

Facilities Management

• Oversee the operational management of multiple commercial properties across London.

• Manage contractors, suppliers, and maintenance schedules to ensure compliance and best value.

• Conduct regular inspections and ensure all sites meet health, safety, and statutory standards.

• Support the operational setup and ongoing smooth running of the firm’s own offices.

• Build strong tenant and client relationships, ensuring excellent service delivery.

Service Charge & Accounting

• Prepare and manage client statements, rent and service charge invoices, and VAT submissions.

• Develop annual service charge budgets in collaboration with Property Managers.

• Coordinate year-end reconciliations, audit packs, and liaise with accountants.

• Manage rent payments, arrears, and credit control processes.

• Maintain accurate tenant records, rent schedules, and apportionment data.

Team Support and Administration

• Attend client and internal meetings as required.

• Provide ad hoc support to the wider accounts and property management teams.

• Contribute to continuous improvement and efficiency across systems and processes.

About You

• Previous experience within service charge accounting or property management finance (minimum 1 year).

• Knowledge or experience of facilities management within a commercial property environment.

• Experience with MRI QUBE (advantageous but not essential).

• Strong numeracy, accuracy, and organisational skills.

• Excellent communication skills with a proactive and collaborative approach.

• Comfortable managing multiple priorities in a fast-paced environment.
