We're recruiting on behalf of a highly respected organisation seeking an organised, proactive and detail-oriented Facilities Systems Administrator to support the effective management of facilities systems, compliance processes and maintenance operations.
This is an excellent opportunity for someone with facilities administration, helpdesk or CAFM experience who enjoys working with data, coordinating multiple priorities and supporting operational excellence within a professional corporate environment.
The Role
Working closely with the Facilities Management team, you'll play a key role in ensuring facilities systems are maintained accurately and efficiently, supporting compliance, service delivery and operational performance across a busy property portfolio.
Your responsibilities will include:
• Administering CAFM and compliance management systems, ensuring records remain accurate and up to date.
• Coordinating planned preventative maintenance (PPM), reactive maintenance and work orders.
• Monitoring statutory compliance actions, inspections and audit requirements.
• Producing management reports, dashboards and performance data.
• Tracking maintenance activities, service levels, KPIs and compliance deadlines.
• Maintaining asset records, contractor information and operational documentation.
• Supporting contractor onboarding and providing system guidance where required.
• Assisting with invoice administration, cost tracking and reconciliation.
• Acting as a key point of contact for internal stakeholders, contractors and service providers.
• Supporting continuous improvement initiatives and wider facilities administration.
About You
To be successful in this role, you'll have:
• Previous experience within Facilities Management, Workplace, Property or Building Services Administration.
• Experience using CAFM, helpdesk, maintenance management or compliance systems.
• Excellent organisational skills with the ability to manage multiple priorities.
• Strong IT skills, including Microsoft Excel and the confidence to learn new systems.
• Experience producing reports and maintaining accurate operational records.
• An understanding of planned maintenance, statutory compliance and contractor management.
• Excellent communication skills and a proactive, customer-focused approach.
• A methodical eye for detail and the ability to work both independently and collaboratively.
Experience within commercial property, estates or corporate environments would be advantageous.
