Your Role: Workspace Project Partner
As Workspace Project Partner, you’ll play a key role in supporting the Head of the department helping to coordinate and deliver a wide range of initiatives that keep the workplace environments modern, efficient, and ready for what’s next.
You’ll be instrumental in ensuring the smooth running of major work space programmes and supporting cross-functional teams in driving operational excellence. From managing projects to refining systems and supporting events, this role offers the opportunity to contribute meaningfully across a dynamic and high-impact team.
Key Responsibilities
Project Coordination (25%)
Support the execution of ongoing workspace initiatives including:
- Workspace Organisation
- Swing Space planning
- Lift Modernisation
- Contract Retender
You’ll manage timelines, track updates, and ensure seamless administrative support across these efforts.
Information & Document Management (25%)
Maintain a well-structured, centralised repository of key documents within Microsoft Teams, improving access and collaboration across stakeholders.
Helpdesk System Development (25%)
Work closely with our Helpdesk team and internal IT to help shape and deliver anew Workspace Helpdesk solution, gathering requirements, testing functionality, and supporting rollout.
Asset Coordination (25%)
Partner with BGIS to build and maintain a comprehensive asset register, covering equipment outside the Project Thursday scope.
What Success Looks Like in the First Few Months
- You’ll have a strong understanding of the organisation’s structure and how the Workspace team integrates across departments.
- You’ll be contributing to the delivery of Project Thursday and understand its operational significance.
- You’ll have outlined a delivery roadmap for the Helpdesk project and initiated early-stage development.
- You’ll be actively involved in the tendering process for key M&E services.
- You’ll have introduced improvements to document sharing and information flow within the team.
- You’ll have established relationships across multiple teams and become a trusted point of contact for Workspace matters.
What You’ll Bring
- A Proactive Attitude: Ready to hit the ground running and take initiative.
- Workspace Awareness: Understanding that Facilities and Workspace support extends beyond a typical 9–5—flexibility and adaptability are essential.
- Eye for Detail: Strong organisational skills and the ability to work with accuracy at speed.
- Excellent Communication: Confident building relationships and working with stakeholders at all levels.
- Experience: Minimum 3 years in a Facilities Project or similar operational support role.
- Tech Savvy:
- Proficient in Microsoft Excel, Word, Outlook, and Teams
- Familiarity with Workday (preferred)
- Experience with MS Project is a bonus
