A leading international institute isseeking an experienced Workplace Manager to oversee workplace andfacilities operations at its flagship London headquarters and a small portfolioof locations across the UK and Ireland.
This role is responsible for ensuringthe organisation’s workplaces remain safe, compliant, efficient andwelcoming environments for employees, members and visitors.
Reporting to the Director of People& Operations, the Workplace Manager will take ownership of theoperational delivery of workplace services across the estate, managing bothtechnical building systems and day-to-day workplace services.
TheRole
The successful candidate will overseeworkplace operations across a technically complex, purpose-built Londonheadquarters, alongside several satellite locations.
Key areas of responsibility include:
- Hard Facilities Management including HVAC, BMS, electrical, life safety systems and building infrastructure
- Soft Facilities Management including reception, cleaning, security and workplace services
- Meeting room operations and workplace support for events and hybrid working
- Supplier management and service contract performance
- Compliance, risk management and statutory building obligations
- Sustainability and environmental performance initiatives
- Workplace projects including refurbishments and space changes
KeyResponsibilities
- Lead workplace and facilities services across the organisation’s property portfolio
- Manage the Workplace team and specialist contractors
- Deliver services in line with agreed SLAs, KPIs and statutory compliance requirements
- Oversee planned preventative maintenance programmes
- Ensure compliance with regulations including EICR, F-Gas, LOLER, PUWER and water hygiene
- Support business continuity planning and operational resilience
- Manage supplier relationships and workplace service contracts
- Monitor workplace budgets including operational and capital expenditure
- Deliver workplace improvement projects and lifecycle upgrades
CandidateProfile
We are seeking an experienced Workplaceor Facilities professional with strong technical knowledge and the abilityto manage operations within a complex office environment.
You will bring:
- Experience managing Hard and Soft FM within a high-specification building
- Strong knowledge of statutory compliance and health & safety legislation
- Experience managing building systems such as HVAC and BMS
- Proven supplier and contract management experience
- Budget management experience across operational and capital expenditure
- Strong stakeholder engagement and communication skills
You will also be highly organised,solutions-focused and comfortable working across operational and seniorstakeholders.
Qualifications
Ideally candidates will hold:
- IWFM Level 4–5 (or equivalent experience)
- IOSH Managing Safely or NEBOSH General Certificate
- First Aid at Work / Fire Marshal (or willingness to obtain)
Additional qualifications such as AuthorisedPerson (Electrical) would be advantageous.
