Background

10x Banking is a banking technology company based in London, with teams working across the UK and Australia. It needed an Office and Facilities Administrator to join its global office management team, reporting to the Office and Facilities Manager and the Operations Director.

The post is the first point of contact for staff on anything to do with the office. It also supports the wider team on projects, so the person appointed would shape how colleagues and clients experience the workplace every day.

The Challenge

This was a role with a very wide spread of duties. On one side sat the welcome and the service: meeting new starters, explaining health and safety procedures and fire assembly points, running office tours and setting up meeting rooms. On the other sat compliance and administration: keeping first aid and fire warden registers current, managing the display screen equipment process, supporting audits and helping test business continuity plans.

The role also carried supplier and contract work, from cleaning and security systems to printers, deliveries and access management, with service quality and budgets to track. The client wanted a recognised health and safety qualification such as IOSH, fire warden and first aid training, and a real interest in data. Finding that mix of safety credentials, administrative discipline and a friendly manner, in someone comfortable in a fast-moving technology business, is harder than the job title suggests.

Our Approach

  • We started with the client to understand the balance between the people side and the compliance side of the job, and which of the qualifications were essential and which were a bonus.
  • We searched among office and facilities administrators and coordinators in London, with a focus on corporate and technology workplaces where the pace and expectations are similar.
  • We screened for IOSH, fire warden and first aid credentials, Office 365 competence and evidence of supplier coordination, and we tested how each person handled being the go-to contact for staff.
  • We presented a shortlist with full CVs and interview notes, and managed the process through interview and offer to acceptance.
