Background

Penguin Random House UK appointed Maxwell Stephens to recruit a Group Facilities Director to lead Facilities Management across its UK and Ireland portfolio, including DK London Facilities.

This was a senior strategic appointment with responsibility for a substantial and diverse estate. The successful candidate needed to combine property expertise, operational leadership, financial control, compliance, supplier management and major project delivery, while keeping the Facilities function closely aligned with the organisation's wider business objectives. The Challenge

The breadth of the remit made this a particularly demanding appointment. Penguin Random House UK needed a director who could provide strategic direction and operational oversight in equal measure, across the following areas:

• Strategic Facilities leadership. Setting clear direction for the function and ensuring property and workplace services supported the organisation's operational and commercial priorities.
• Budget and financial management. Overseeing operational expenditure, capital projects and Group Services budgets worth millions of pounds annually, with responsibility for financial control, forecasting and value for money.

• Contract and supplier management. Managing and benchmarking third-party contracts covering security, insurance, maintenance, cleaning, catering, fleet and travel, holding service partners to defined SLAs and KPIs and addressing underperformance where required.
• Facilities project management. Overseeing projects from initial planning and tendering through to completion, with responsibility for budgets, quality and health and safety.
• Business continuity. Developing and maintaining robust continuity arrangements to protect operations and strengthen resilience during disruption.

Few candidates carry genuine depth across all of these. Group-level facilities roles in corporate estates are often filled by strong operators who have never held the property side, or by property professionals who have not led a service function day to day. This search had to find someone credible on both.
