Rabobank
Office Services Manager
Rabobank

Background

Rabobank, a global financial services organisation, appointed Maxwell Stephens to recruit an experienced Office Services Manager for its London branch.

The role carried responsibility for a broad range of workplace services, including mailroom operations, catering, security and cleaning, alongside management of external consultants, contractors and suppliers. Operating within a professional financial services environment, Rabobank needed an accomplished Office Services professional who could maintain consistently high standards while managing budgets, contracts, teams and complex stakeholder relationships. The successful candidate had to combine Facilities Management expertise, people leadership, supplier management, financial control and strong communication skills so that the London workplace ran efficiently.

The Challenge

The Office Services Manager position combined operational responsibility with commercial management and stakeholder leadership. Rabobank needed someone who could take ownership of multiple workplace services while keeping a strong focus on quality, efficiency and customer service. Key requirements included:

  • Office Services management. Effective oversight of workplace services so that the London branch remained professionally managed and operationally efficient.
  • Mailroom, catering, security and cleaning. Managing mailroom services so that incoming and outgoing communications and deliveries were handled accurately; overseeing catering provision for employees, visitors and business requirements; coordinating workplace security with the relevant providers; and managing cleaning provision to consistently high standards.
  • Team leadership. Clear management and motivation of the employees delivering Office Services.
  • Supplier and contractor management. Building effective relationships with external suppliers, consultants and contractors while monitoring service performance, and applying strong commercial judgement to supplier arrangements and negotiations to secure appropriate service quality and value.
  • Budget and financial management. Managing Office Services expenditure effectively and maintaining appropriate financial control.
  • Stakeholder management and project presentation. Liaising confidently with internal business leaders as well as landlords, tenants, consultants, contractors and external partners, and communicating proposals and projects to senior stakeholders to secure support for workplace initiatives.
  • Health and safety. A broad understanding of health and safety legislation and the ability to ensure relevant responsibilities were properly managed.

Office Services roles in financial services carry an expectation that is easy to underestimate: the standard of the mailroom, the catering and the security desk is read by clients and senior staff as a statement about the firm. The manager has to be commercially sharp with suppliers and, at the same time, visibly service-minded.

Our Approach

Maxwell Stephens began with a detailed analysis of Rabobank's requirements, working to understand both the technical responsibilities of the position and the organisation's expectations around leadership, communication and cultural fit. We then conducted a targeted search using our specialist Facilities Management network, candidate database, industry contacts and relevant advertising channels.

Our assessment focused on candidates with experience in:

  • Office Services and Facilities Management
  • multi-service workplace operations
  • team leadership and motivation
  • catering, cleaning, security and mailroom services
  • supplier and contractor management
  • contract negotiation
  • budget and financial control
  • health and safety
  • senior stakeholder communication
  • project presentation
  • professional or financial services environments

Strong Microsoft Office capability and the ability to manage several operational priorities at once were also important considerations. Throughout the process, Maxwell Stephens kept in close communication with Rabobank, providing regular progress updates and ensuring the client remained closely involved in the final stages of candidate assessment.

Following a thorough selection process, we placed an Office Services Manager at Rabobank's London branch.

The Outcome

The successful candidate integrated effectively into the organisation and took on Rabobank's broad Office Services remit. The appointment gave Rabobank:

  • Dedicated Office Services leadership across its core workplace services, supporting greater consistency and coordination.
  • Reliable service management. Effective oversight of mailroom, catering, security and cleaning services helped maintain a professional workplace environment.
  • Stronger supplier relationships. Supplier-management and negotiation skills supported productive relationships with external providers and clearer accountability for service delivery.
  • Greater financial control. The candidate's budgetary and financial-management experience strengthened oversight of Office Services expenditure and supported commercially informed decisions.
  • Confident stakeholder engagement. The Office Services Manager worked effectively with business leaders, landlords, contractors, consultants and other stakeholders.
  • Improved operational efficiency. The ability to coordinate multiple responsibilities helped streamline workplace operations and maintain high standards of day-to-day service.

The result was an Office Services Manager able to combine Facilities Management, workplace services, team leadership, supplier management and financial control within a demanding financial services environment.

Why This Placement Worked

Recruiting Office and Facilities professionals for corporate workplaces of this kind depends on assessing commercial awareness and stakeholder confidence with the same rigour as service delivery. This search did that from the first analysis of the brief, and kept Rabobank closely involved through to the final assessment, which is why the appointment integrated effectively into a wide and visible remit.
