Maxwell Stephens’ client, an internationally-renowned museum is currently recruiting a permanent Commercial Contract Manager.

Maxwell Stephens, the UK’s leading facilities management recruitment company, has been appointed by our client to find an experienced professional who will be responsible for commercial and financial management within the P&FM department.

The main purpose of your role will be the delivery of financial and management efficiencies via accurate reporting, analysis of key data, and obtaining the best value for money across our client’s Total Facilities Management (TFM) contract provided by our client’s outsourced supplier.

You will play a key role in negotiating the commercial aspects of the TFM contract, assess contract variations and prepare responses to any contractor claims or queries.

What you’ll be doing

You’ll be managing the preparation and oversight of our client’s FM budget as well as the additional, non-contracted works order process for the TFM between the internal customer and the supplier, ensuring works orders reflect the needs of the internal customer including scope clarification and agreeing any recharges. You’ll also develop robust commercial controls to minimise risk as well as identifying and advising on commercial opportunities in line with the NEC process.

You’ll analyse the FM contracts risk register to identify potential contract variations, supporting the CSM in reviewing and closing out contract risks to ensure contract compliance and value for money. You’ll ensure that value for money is also delivered through the review and scrutiny of additional contract works, assessing competitiveness and quotations against financial benchmarks. You’ll also attend contract meetings and commercial discussions with the contractor.

You’ll advise the Head of P&FM and other colleagues on the financial and procedural obligations of the NEC3 Term Service Contract framework ensuring adherence to all contractual obligations. You’ll continually review operational process flows through P&FM, undertaking the design and implementation of work order development and authorisation processes across the organisation and the FM supplier where necessary.

You’ll administer and process any Asset Investment Works under TFM and be the interface between P&FM and the Capital Planning and Programme Management team. You’ll undertake administrative tasks including administration of the contract management system (CEMAR – for which you will be the super-user), processing invoices, and creating purchase orders.

You’ll support P&FM in assessing contract variations and in the resolution of contractual and commercial issues as well as supporting the CSM in monthly contractor performance assessment (via indicator and KPI data).

About you

Educated to a degree or equivalent level, you’ll have previously worked as a Commercial Manager or Project Manager. Experience of working in the museum or cultural sector and the holding of an accredited professional project management qualification would both be considered desirable.

An excellent verbal and written communicator who is able to maintain great working relationships across a diverse group of stakeholders through judicious use of demonstrable professionalism and diplomacy, you’re able to prioritise and balance your own workload when the demands upon you are many.

You have experience of commercial management of FM contracts (including NEC3 and related processes) and in managing large volumes of additional works in a contract management department. You’re extremely capable in maintaining effective reporting procedures.

You also have experience of the CEMAR contract communications management systems in addition to budgetary management and purchasing & control procedures. You’ll also be IT literate with advanced Excel skills which you use to support your strong data evaluation skills. A working knowledge of Agresso would be desirable.

You’re an accomplished organiser with the ability to plan work schedules, to prioritise, and to work to deadlines. You have sound commercial and financial acumen as well as a well-developed attention to detail.
