Our client, a leading corporate company, has assigned us to recruit for a Facilities Administrator to join their exceptional office in Central London.

Key Responsibilities

Reception

  • Welcoming visitors, informing hosts of arrival and escorting to meeting rooms
  • Assist with booking meeting rooms as well as hotels and taxis for visitors
  • Assist with hospitality orders for meetings and preparation of meeting rooms as required
  • Directing incoming phone calls and operation of switchboard
  • Manage email enquiries from staff
  • Adhoc diary management as required

FM

  • Log reactive work orders, coordinate contractor call outs and attendance ensuring update of maintenance log
  • Maintain Planned Preventative Maintenance (PPM) schedule, liaise with contractors to arrange service visits and relevant reports/certificates
  • Assist in maintaining accurate service maintenance records and documentation
  • Assist with collating contractor quotations on Excel
  • Review of invoices before submission for approval
  • Maintain contracts schedule
  • Assist with coordination of logistics for office moves
  • Carry out monthly office inspections, log and close out actions
  • Monitor and maintain H&S noticeboard content
  • Check & replenish first aid kit stock
  • Porterage of packages and other office furniture

Essential requirements:

  • Proven experience 1-2 years of facilities management experience within a corporate environment
  • Exceptional client service skills
  • Strong verbal communication and organisational skills
  • Ability to handle multiple priorities and manage own workload
  • Proficient in Microsoft Word, Excel and PowerPoint
