Maxwell Stephens have been asked to recruit a Facilities Coordinator, to be based at a historic site in Central London.


Your Role

Reporting to the Facilities Manager, the successful candidate will be responsible for providing a professional facilities coordinator service and supporting the wider property department for a high profile business of c.60 staff in the St James’s area of London.

General facilities coordinator duties including daily management of outsourced soft services, e.g. cleaning, recycling and waste management.

Monitor Facilities email inbox, escalating queries as necessary to the Facilities Manager.

Administration of tours business; organise bookings, maintain schedule and produce associated financial reports.

Bind, copy, print, scan, collate and laminate documents for internal and external use.

Answer and redirect telephone calls that are received by the main switchboard.

Produce tenant phone charge reports for billing.

Maintain database information for suppliers, tenants, and contractors.

Coordinate the meeting room booking system and create reports to recharge tenants.

Monitor and procure office consumables.

Maintain tight control of regular and ad-hoc facility expenses including production of monthly statements. Code and approve invoices for accounts

Assist with incoming and outgoing post and couriers for the building.

Coordinate the Company’s Health & Safety provision, ensure compliance with regulations and produce and maintain appropriate record systems including risk assessments and permits to work.

Conduct workstation assessments for staff and maternity risk assessments.

Assist with ad hoc tasks across the wider property team as required.

Occasionally provide cover of Reception desk, meet and greet guests and ensure visits run smoothly.

Book taxis for staff and visitors as required.


Skills and Experience

Excellent written and verbal communication skills.

Track record of dealing with high profile individuals/tenants.

Excellent time management skills.

H&S qualification and DSE training desirable.

Educated to GCSE level (or equivalent) in Maths & English.
