Maxwell Stephens have been asked to recruit a Workspace Experience lead on behalf of a globally recognised business.

You will be responsible for leading the Workplace Experience (WE) department and ensuring the optimum use of buildings, effective provision of services and adherence to relevant legislative and health and safety requirements.

To give you a taste of the role, you will be dealing with a budget of over £2 million

Your Role

  • Manage the Workplace Experience department across both London and one in the South West of the UK ensuring an excellent service is provided across all related services. To include management of soft and hard services, typically via a network of outsourced providers, with a focus on the quality-of-service delivery within agreed budgets
  • Budget management – management and reporting of WE budgets supported by a Finance business partner. Ensure accurate and timely invoice processing of purchase orders and invoices for vendor payment
  • Maintenance – ensure compliance with related legislative requirements across both sites to include coordination and supervision of work by contractors. This will involve managing PPM schedules, quality record keeping plus reviewing and approving RAMS
  • Contract management – manage all WE related contractor relationships for relevant services provided at both sites. Negotiate contracts, as appropriate, and ensure agreed standards are met through regular meetings with providers and ensuring adherence to contract terms
  • Line Management – To lead, manage and develop the Workplace Experience team at both sites. Also responsible for leading the outsourced cleaning, security and Front of House teams
  • Property maNagement – management of leases at both offices, supported by an outsourced legal consultant and the in-house Legal team. Required to respond to lease queries and facilitate payments acting as a Landlord in one site and a tenant in the other.
  • Security – ensure both offices are adequately secure through effective relationships. Ensure adherence to relevant policies particular to each building
  • Health & Safety – Manage the day-to-day health and safety of all employees including writing and approving risk assessments, undertaking DSE assessments for both home and office workers and ensuring the office is a safe and accessible environment for all. Ensure there is sufficient Fire Warden and First Aid cover within a hybrid working environment and ensure training is kept up to date. Responsible for regular fire drills and evacuation plans

Skills and Experience

  • Proven FM experience
  • Awareness of H&S Regulations
  • Proficient in writing and reviewing Risk Assessment
  • NEBOSH
  • Relevant DSE qualification
  • IWFM Level 4 or above
  • Understanding of maintenance systems
  • Relevant experience with MS Office programmes
  • Requires travel to Cardiff office – ideally a monthly visit
  • Solid stakeholder management skills
  • Experience of managing multiple sites
  • Customer focussed approach with minimum of 5 years Facilities Management experience in comparable organisation
  • Proven ability to work under pressure
  • Professional, proactive approach to tasks
