Maxwell Stephens have been asked to recruit a Studio Facilities Co-ordinator on behalf of our client.

.

You will be the main onsite contact and carry out contractual provision of services to the client. The Studio Facilities Co-ordinator must be consistently thorough on all duties, and be polite, friendly, and helpful to studio clients at all times.

Your Role

Understand the background of the client, the nature of their production, client liabilities and duty of care along with any specific requirements.

Develop and maintain excellent relationships with key client/production contacts, contractors, and suppliers.

Monitor and manage the site including stages, support offices and workshops.

Monitor production installations and building works to ensure they comply with client contractual obligations and Health & Safety legislation.

Assist the Studio FM in carrying out PPM and monitoring day to day performance of contractors and suppliers.

Ensure all areas are clean, presentable, and ready for the client to move in.

Carry out emergency lighting flick tests, hot and cold-water temperature checks, any required power changeover procedures as needed following the appropriate training (swap from mains to generator supplies).

Provide site supervision for visiting contractors and engineers.

Carry out small remedial repairs to building fitments (replacing door handles, carpet tile changes, paint touch ups, replace electrical plugs, repair/replace breakages).

Familiarise and assist with other studio sites if/when required

Submit regular reports to Studio Facility Manager.

Coordinate and schedule all cleaning service requests (scheduling any deep cleaning, carpet cleaning).

Work closely with the security and cleaning company on day-to-day service and supplies.

Review, track and maintain the purchase order log by liaising with the studio accounts team to ensure they have the correct information for producing purchase orders, invoices, and payments.

Coordinate all weekend work/requests (schedule any special or requested services for tenants working over the weekend).

Assist Marketing with special events as needed (seasonal decorations, tenant gifts, etc).

Perform other duties as requested by the FM Manager or other Company management.

Skills and Experience

Proven experience in a building facilities environment.

Experience working with contractors and suppliers.

Skills/training/qualifications in basic building maintenance (painting, electrical, plastering etc).

Valid driver’s license and insurance.

Proficient in Microsoft Office, Outlook, Teams. Proficiency with FM software would be advantageous.

Strong written and verbal communication skills.

Excellent customer/client service skills.

Able to prioritise workload.

H&S qualifications/training would be advantageous.
