The Opportunity
Maxwell Stephens is recruiting a hands-on Facilities Manager for a leading international financial services firm. The UK business is headquartered in a premium London office and supported by a network of regional offices.
This is a new role created to strengthen the facilities function. You will own day-to-day operations across London and the regional sites: the building, the suppliers, the safety of the people in it, and the standard of the workplace that colleagues and clients see every day. FM colleagues at the same grade lead on strategy and long-term planning, which leaves you free to concentrate on running a first-class operation.
The role suits an FM who likes being visible, keeps a lot of plates spinning at once, and gets things done without being chased. You will report to the Head of the department and work closely with them and the wider corporate services team.
What You Will Be Doing
Health & Safety
- Deliver H&S inductions for every new joiner and manage the H&S side of onboarding and offboarding
- Run the DSE programme: assessments, workstation adjustments and follow-up
- Operate the permit to work system and review contractor RAMS before work starts, making sure contractors are properly supervised on site
- Investigate and record incidents and accidents, identify root causes and trends, and make sure lessons are acted on
- Lead emergency management on site, including fire marshals, first aiders, evacuation drills and business continuity arrangements
- Carry out regular site inspections and keep H&S standards consistent across London and the regional offices
Building operations and maintenance
- Manage reactive maintenance in London and the regions, from logging the issue to signing off the fix
- Manage the maintenance and M&E contractors: hold them to their SLAs, monitor planned maintenance, and challenge poor performance
- Act as the day-to-day contact with landlords and managing agents on building issues
- Manage operational spend, raise purchase orders, check invoices and look for better value from suppliers
- Coordinate office moves, small works, furniture changes and churn as the business needs them
Regional offices
- Manage the regional offices remotely, with regular site visits
- Make sure reactive issues are resolved quickly and that the regional offices meet the same standard as London
- Support events and client visits at regional sites
Workplace experience
- Keep the London office presented to the standard expected of a premium, client-facing financial services business
- Support events, client visits and wellness initiatives, making sure the space, the services and the logistics are right
- Set a service culture where problems are fixed before anyone has to ask
People
- Manage the additional onsite FM support in London
- Line-manage the onsite IT contractors and work with their employer's line management on performance and day-to-day matters
- Make sure IT cover is in place during absences and for events
- Support the contractors' development and career progression
Security
- Act as Deputy Physical Security Officer
- Lead the response to reactive security issues
- Support day-to-day physical security arrangements
Reporting
- Produce regular management information on H&S, maintenance, supplier performance and spend for the Head of the department
About You
Essential:
- An established Facilities Manager with a strong operational track record, ideally in a corporate, financial services or other professional, client-facing workplace
- Practical, current H&S knowledge: permits to work, RAMS, DSE, incident investigation and emergency procedures
- Experience managing contractors and suppliers to agreed service levels, including M&E and reactive maintenance
- Comfortable line-managing people from outside FM, and supporting their development
- Organised and calm when several priorities land at once, with the judgement to know what matters most
- Professional and polished enough for a premium corporate environment, but happy to roll your sleeves up
- Willing to travel to the regional offices
Desirable:
- A NEBOSH or IOSH qualification
- First aider or fire marshal training
- Experience of multi-site operations, including managing sites remotely
- A background in hospitality, front of house or another service-led environment. Many of the best workplace FMs started there, and it shows in the standard they set.
