We're recruiting on behalf of a well-established law firm for an experienced Senior Facilities Administrator.

This varied role combines facilities administration, helpdesk oversight, project support and business travel coordination, ensuring the smooth and efficient operation of the office and delivery of a high-quality service to internal stakeholders.

This is an excellent opportunity if you are an organised and proactive Facilities Administrator looking for a varied 18-month FTC in London.

Key Responsibilities

  • Process purchase orders, invoices and related financial administration, supporting Accounts queries and supplier payments.
  • Oversee Facilities Helpdesk activity, including reactive and planned preventative maintenance, ensuring excellent customer service.
  • Coordinate service sheets and provide monthly operational and performance updates.
  • Maintain Health & Safety and Business Continuity information and provide administrative support to relevant teams.
  • Coordinate team rotas and support Facilities Managers with diary management.
  • Provide diary, travel and administrative support to the Facilities Director.
  • Manage the day-to-day operational requirements of the Global Business Travel programme and liaise with international travel managers.
  • Lead regular calls with office managers, gathering feedback and coordinating issue resolution.
  • Support Sustainability reporting through data gathering and analysis.
  • Provide support for key Facilities Management procurement and contract projects.

About You

  • Previous administrative experience, ideally within a professional services or corporate environment, alongside excellent organisational and communication skills.
  • Strong attention to detail and the ability to manage competing priorities.
  • Confidence communicating with senior stakeholders and presenting operational information.
  • Good working knowledge of Microsoft Word, Excel and Outlook.
  • An understanding of safe working practices and when to seek guidance.
  • A basic understanding of project management principles.
  • GCSE English and Maths, or equivalent.
  • IOSH Managing Safely or IWFM certification would be desirable.
  • A customer-focused approach and the ability to work proactively and independently.
