Our client, a highly reputable organisation, have assigned us to recruit a Facilities CAFM & Archiving Assistant to join their team.

Key Responsibilities

  • Reviewing and cataloguing existing and new O&M manuals, record drawings.
  • Arranging for all information to be digitised and captured in an accessible format.
  • Supporting the day-to-day operation of the Estates office.
  • Providing support to the Estates management team and covering the existing helpdesk supervisor during holidays and absences.
  • Ensuring a professional service provision to internal customers through a `service level agreement’ approach and where necessary the co-ordination of external contractors.
  • To support the Estates Department in it’s operational requirements.
  • Supporting the Estates Manager in the management of the specialist suppliers in the year round maintenance of the buildings & grounds and in the preparation of each year’s season.
  • Reviewing and cataloguing existing and new O&M manuals, record drawings to ensure all relevant documentation is available to departments and external suppliers/agencies.
  • Archiving documents no longer valid and liaising with the Heritage & Collections Department to ensure historical information is retained where necessary.
  • Arranging for all information to be digitised and captured in an accessible format.
  • Managing the Estates shared database to ensure all relevant information is in a useful format and can be accessed in a logical and easily understood manner.
  • Support the planed and reactive maintenance of the Estates services, ensure the CAFM system is correctly used to capture all maintenance information once tasks have been performed.
  • Supporting the maintenance and compliance manager in producing maintenance information for planned and reactive task to create reports on the performance of the Department.
  • Develop and encourage a culture of continuous improvement and to participate in training for skills development.

Person Specification

  • Technically competent in the operation of software databases relevant to the role.
  • A good understanding of building services, ideally familiar with CAFM and BMS systems.
  • Knowledge of planned and reactive maintenance operations.
  • An understanding of Health & Safety requirements within a maintenance environment.
  • Flexibility in approach, style and working hours
  • Reliability and commitment to continual improvement
  • Calmness under pressure
