Maxwell Stephens have been asked to recruit on behalf of a property firm for an Assistant Building Manager role. Our client strives for excellence within sustainability and has an incredibly impressive financial performance.

In this brilliant role you will be responsible for assisting the building manager with the day-to-day management arrangements of the building including involvement in the recruitment of site team; management of third party suppliers and; putting in place management procedures.

Your Responsibilities

The Assistant Building Manager will be required to maintain contact with the appropriate manager for each occupier and deal with requests, complaints and other incidents such as emergencies and disruption due to building alterations as they occur.

Assist in leading the team on site, both directly employed and through third parties to create an enthusiastic, knowledgeable, committed and passionate team that delivers an excellent level of service to the occupiers

The Assistant Building Manager will be expected to assist in keeping all services under review, looking at new initiatives and ideas, making recommendations and implementing improved services whenever these are feasible within the boundaries dictated by the properties strategy, lease and budgetary considerations.

To help prepare and manage the Service Charge Budget for all services.  The first draft is to be presented to the Manager to agree.

Assist in overseeing the M&E services contracts ensuring that all records are maintained; any issues or deviations from the laid down programme, schedules, missing documentation, breakdowns, faults, are highlighted. Help devise cost effective planned maintenance approach and report on performance.

Assist in monitoring and managing the performance of cleaning and soft services suppliers.

Assist in managing all aspects of maintenance to mechanical and electrical plant and equipment including to common areas and minor works areas. Deal with emergency works.

Assist in ensuring that all contractors are issued with the correct permits to work for the tasks they are required to perform

Liaise with onsite building contractors to ensure minimum disruption to the occupiers and the building, therefore enabling the contractors to carry out their works with the minimum of delay.

Keep the Incident Management Procedure document up-to-date.

Ensure the weekly fire alarm tests and other fire procedures are carried out.

The Assistant Building Manager will be required to assist any potential occupiers who wish to view vacant areas, providing assistance to secure any potential letting.

Ensure weekly checks are undertaken by Stark on all utility consumption and investigate and report on high spikes of gas water or electricity use and report to the Derwent Sustainability team. Proactively put in measures to address and prevent spikes in usage.

Assist in ensuring there is a system of quality management processes and procedures on site to manage services provided by Derwent London and external suppliers. This will include regular performance management meetings and compile KPI scores to assess service partner performance on site.

From time to time duties and areas of responsibility are likely to be varied in accordance with changes in legislation or our organisation and aims, to ensure the best possible service for our occupiers.
