Maxwell Stephens have been asked to recruit on behalf of the client for the role Facilities Administrator Estates Operations in London. This role is on an interim basis.

Your main duty will be to provide PA and administrative support to the Associate Director of Estates Operations.

Main duties & Responsibilities

  • You will be providing PA support to the Associate Director of Estates Operations, planning, organizing and maintaining their electronic diaries.
  • Raise purchase orders, deals with invoices and processing expenses when necessary.
  • Your role will require you to develop and maintain processes and systems, maintaining departmental expenditure, IT, Logistics and consumables.
  • You will be required to organize meetings including project groups, working groups and strategy meetings.
  • You will be providing a professional and welcoming first point of contact for visitors and in response to email and phone enquiries, proactively contacting people across and outside of the organisation at all levels.
  • Your role will require you to take responsibility for coordinating induction processes for staff across the department, maintaining sick records, training records and annual level records for the department

About You

    • Experience of working in administration
    • Excellent working knowledge of the Microsoft Office package, including Teams, Word, Excel, Outlook, and PowerPoint.
    • Excellent verbal and written English, including the ability to communicate professionally with all levels in an organisation.
    • Proactive, well-organised and thorough, showing excellent attention to detail.
    • Experience with UEL IT systems, such as Agresso (finance), Celcat (room bookings), iTrent (HR) and BlueRunner (catering).
    • Experience of providing PA support to a head of team or department.
    • Experience of handling a range of confidential material.
    • Educated to A level standard or equivalent experience.
