Our client is a leading FTSE financial services firm.

In this role you will assist and deputise for the Building Manager in a building our client actually owns.

You will ensure excellent delivery of Landlord services at the site and all Landlord and Tenant services including service charge budget, projects, tenant meetings and communications. Also, to assist with the management of all building management services to other UK properties.

Specific responsibilities

  • Working alongside the Building Manager to manage the following contracts:
    • Engineering
    • Cleaning
    • Manned Security and Security Systems
    • Waste and Environmental initiatives
    • Landscaping and plant care
  • Supervise the day to day running of the UK Helpdesk, ensuring best practice.
  • Planning routine and reactive maintenance/facilities work and activities
  • Oversee fabric maintenance
  • Provide FM support and services to the FM teams of co-occupants as appropriate
  • Work with Loading Bay team to ensure compliance to all processes and procedures and manage system for tracking all delivered and sent mail and parcels
  • Communicate building management issues to staff (e.g.: intranet news items)
  • Approval of relevant PO requests and invoices
  • Provide management information/reporting as required
  • Assist in benchmarking and tendering exercises where appropriate
  • Assist with Business Continuity and Disaster Recovery planning and operations as required
  • Undertake related projects as required
  • Operational Risk:
    • Carry out safety and security audits and risk assessments
    • Monitor all Building Management processes to ensure compliance and control for operational risk
    • Manage weekly access control reconciliations; all Tenant access data; conduct monthly security procedures audits and attend meetings
  • Health & Safety:
    • Management of annual fire evacuations and appointment and training of fire wardens
    • Assistance with fire risk assessment and statutory audits
    • Management of training and appointment of first aiders
    • Undertake PEEPs, initial desk assessments and 3rd party desk assessments where required and associated actions
    • Accident Reporting, Incident Reporting, Organise statutory training
  • Permits:
    • Issue Permits to Work/access permits and work with M&E contractor on RAMS and permissions to ensure timely response turnover

Key competencies

  • Minimum 5 years working in a Building Management/Facilities capacity
  • Degree level education preferred or at least education to A Levels and preferably Diploma level in BIFM/NVQ with sufficient experience
  • Experience of prestigious multi-tenanted site an advantage
  • Demonstrable experience of key areas of competence including:
    • Health and safety
    • Budget management
    • People management
    • Contractor management
  • Numerate and awareness of basic budgeting control
  • IOSH or equivalent qualification
