Good FM hiring follows a clear sequence: an accurate, specific job description, a well-pitched advert, structured interviews scored consistently, and onboarding that helps the new hire stay. This guide covers each stage and includes a template Facilities Manager job description, formal and informal advert examples, interview questions with good answers, a weighted scoring method and an onboarding checklist.

A weak Facilities Management appointment shows up quickly, in service failures, cost overruns and safety risk. The role spans compliance, contractors, budgets, buildings and people, so the quality of your hiring decision depends on the quality of the process behind it.
Facilities Management Hiring Guide takes you through that process in order. It covers writing an accurate, specific job description, deciding what goes in the advert and in what tone, structuring and scoring interviews, and onboarding your new hire so they stay. It is for anyone recruiting FM roles, from a Facilities Coordinator to a Head of Facilities.
It is built to be used on your next hire. You get a template Facilities Manager job description, example formal and informal adverts, interview questions with what a good answer looks like, a weighted scoring method and a day-one onboarding checklist.

What's inside
The guide follows the hiring process in order, from the first draft of the job description to your new starter's first performance review.
- Writing the Job Description: Why the job you describe must be the job that exists, how to involve operations, HR and finance in scoping it, and how to write an opening that holds a busy candidate's attention.
- Be Specific, Not Generic: Side-by-side generic and specific wording for communication, health and safety, hard services and qualifications, so your job description reads as your role rather than a template.
- Job Description Example: Facilities Manager: A Facilities Manager template to adapt, covering role details, job summary, key responsibilities, qualifications and person specification, with advice on keeping it concise and readable.
- What to Put in the Advert: Benefits: The four benefits FM professionals most often say they value (flexible working, pension contribution, training and development, annual leave) and how to present each one clearly in your advert.
- What to Put in the Advert: Job Satisfaction: How to show the rewarding side of the role through varied work, the building, fresh challenges and customer experience, and why the most distinctive feature belongs in the first two lines.
- Choosing the Tone of Your Advert: When a formal or an informal tone suits your organisation, with a full worked example of each for a Facilities Manager role.
- Interview Questions That Work: Behavioural and situational questions with FM examples, what a good answer looks like, how to listen for each part of the STAR method and why a pause before answering is a good sign.
- Competency and Cultural Fit Questions: Competency questions on preventive maintenance and fault diagnosis plus cultural fit questions, with guidance on spotting applied skill, emotional intelligence and an authentic match with your values.
- Scoring Interviews Consistently: A 0 to 5 grading scale, question weighting from 1 to 10 and a five-step method for turning scores into a percentage you can compare fairly across candidates.
- Onboarding: Preparing for Day One: What to have ready before your new hire arrives, from workspace, technology and a welcome pack to CAFM logins and a named point of contact, with a checklist to work through.
- Onboarding: The First Weeks and Beyond: How to structure the first weeks: team introductions, a detailed role overview, systems and compliance training, supplier handover and a first review with short-term and long-term goals.
- Bringing It Together: A short recap of how each stage shapes the next, from an accurate brief to onboarding that keeps the person you chose.

Facilities Manager Recruitment for Egon Zehnder
Egon Zehnder engaged Maxwell Stephens to recruit a Facilities Manager for its Grade A London headquarters in Victoria, a role covering around 24,000 sq ft of premium accommodation. The appointee would work largely alone, in a highly visible position judged daily by partners and visiting clients. We assessed shortlisted candidates against defined technical, commercial, service and behavioural competencies rather than technical competence alone. The Facilities Manager appointed quickly became a trusted member of the organisation, strengthening compliance, supplier performance and budget control.
It shows how defining the real requirement, beyond an operational-looking job description, and assessing against clear criteria produces a shortlist a client can choose from with confidence.
