Facilities Officer (6 Months FTC)
Back to Vacancies ListWe have been assigned be a leading management consultancy organisation, to recruit a Facilities Officer to join their team on a 6 months fixed term contract.
To proactively work with internal staff and external suppliers to identify, address and correct any faults so that equipment and the fabric of our office is maintained to a high and safe standard.
Key Responsibilities
- First point of contact with the Recruitment and Training team; helping coordinate candidate interview days during the recruitment season, and the delivery of the Facilities inductions for new joiners.
- Maintain FM Manual and key supplier list
- Arrange temporary access for contractors
- Attend weekly meetings with the Facilities Manager to cover all issues / concerns and progress updates
- Responsible for assisting the Facilities Manager in co-ordination of all accidents, emergencies and fire evacuation procedures and the fire marshals
- Ensure all Facilities processes and policies are reviewed and updated on a regular basis
- Manage the London Facilities inbox on a daily basis
- First point of direct contact with all contractor enquires, problem solving issues, and escalating to the Facilities Manager if required
- Manage changes as required and ensure all office plans are fully maintained and up to date
- Manage the upkeep of facilities assets including furniture, fixtures and fittings – log any issues and arrange for them to be resolved.
- Work with the Facilities Manager and IT team in relation to desk plans, office redesign’s and moves etc
- Make sure all aspects of building management are escalated to relevant parties and to liaise with the Facilities Manager in terms of escalation and any health and safety considerations
- Maintain and ensure all risk assessments, method statements and work permit procedures are adhered to
- Ensure essential services are continually maintained by carrying out the full range of practical and manual handling aspects
- Point of contact with all PA enquiries
- Responsible for internal event consultations

Person Specification
- Proven experience of operating in an office environment
- Administration of process and tasks
- A good understanding of health and safety requirements as it relates to emergency procedures, office moves and desk space
- Project management experience is ideal
