Maxwell Stephens have been asked to recruit on behalf of a professional services firm for a Facilities Assistant role.

The Facilities Assistant will ensure the smooth day to day running of the Facilities function within the firm.

Your Role

You will be responsible for the daily receiving-in, sorting and dispatch of Royal Mail post. You will also be responsible for franking all outgoing post and ensure franking machine is adequately maintained and loaded with sufficient funds.

You will be responsible for daily banking procedures such as logging all incoming cheques on the register.

You will carry out regular stock takes of stationery and ink cartridges to ensure appropriate levels are maintained. You will also assist with office moves to include physical set up of new starter desks and ensure that floor plans are updated.

You will monitor the Facilities inbox on a regular basis, responding to general requests in a timely manner. You will act as the first point of contact in relation to faulty refreshment equipment (e.g. coffee machines) and liaison with engineers.

You will undertake building inspections in accordance with checklists to include acting as a health and safety representative by identifying any concerns/issues throughout the building and raising this with the relevant person.

You will cover late night reception duties on Wednesday evenings.

Skills and Experience

You will have excellent communication skills both verbal and written. You will have the ability to prioritise different tasks and sometimes conflicting demands either on own initiative or through manager’s support.

You will have excellent computer literacy and organisational skills. You will have attention for detail Accuracy and a flexible attitude to work.

You will be able to follow instruction and the ability to cope with pressure and maintain a calm manner at all times.

A full clean driving licence is essential.
